Create a register before the next purchase

Software may run while nobody knows whose email owns the subscription or where purchase records are kept. List each product, edition, assigned user or device, purchase method, renewal date and responsible person. Store secret keys separately in a protected vault.

Distinguish an installed application from confirmed usage rights. A key or successful activation does not answer every licensing question. Resolve uncertain entries using purchase records and the vendor's current terms, not the appearance of an activation screen.

Compare the same usage rights

Similarly named offers may differ in edition, duration, user count and transfer rights. Before payment, document who needs the application, on which devices and for what work. Clarify server use and remote-access environments separately.

Compare subscriptions and perpetual licences over the full intended period. Include renewals, updates and support when charged separately. Do not assume the software continues operating unchanged after a subscription ends: the exact product determines the consequences.

Keep corporate access under company control

When the only administrator uses a personal email, their absence creates an operational risk. Use managed work accounts and the service's supported backup administrative access. Enable multifactor authentication where available.

Employee changes should transfer responsibility and access through the service's procedure, rather than sharing passwords in messages. Check document ownership, shared folders, recovery methods and payment profiles. Deleting an account before transferring its data may be premature.

Update the register whenever something changes

Assign someone to monitor renewals and maintain the register. New computers, department changes and cancelled services should all be reflected. This makes unused paid seats visible and helps plan spending.

Send a supplier your product list and required usage scenarios without keys or passwords. Ask for exact product identifiers, terms, access-delivery steps and purchase documents. This article concerns record keeping; each product's licence documents determine its permitted use.

What to check

  • Each product has a responsible owner
  • Purchases and usage terms are documented
  • Renewals and backup access are controlled
  • Data and permissions are transferred during staff changes
