01 / Service scope
A low-cost device can be expensive to run. We compare not just the printer price but consumable yield, maintenance frequency, scanning features and operation on your network.
Monochrome, colour, format and workload.
Estimate normal and peak monthly volume, colour-document share, duplex needs and paper size. A manufacturer’s maximum duty cycle is not the recommended continuous workload. For scanning, clarify the document feeder, duplex scanning and file-delivery method.
The cartridge is part of the workstation cost.
Check consumables for the exact model, their stated yield and measurement method. Actual usage depends on page coverage and print mode. Account separately for drums, fusers and other serviceable components where replaced separately.
Compatibility with your environment.
Agree Ethernet or Wi-Fi connectivity, operating systems and driver requirements. Organisations also need scan-location and access rules. A test page does not replace checks from working applications and scanning to the agreed destination.

Check supplied accessories and agreed printing, copying or scanning modes. Discuss consumables and ongoing maintenance at handover.

The selected model should match your documents and workload, with consumables accounted for in the budget. Connectivity, scanning and other functions are checked within the agreed scope.

Consider paper format, colour, workload, multifunction features and connectivity. Compare the device together with consumables and maintenance; specify initial setup separately when required.
